Welkio Privacy Policy

Welkio provides its corporate clients with a space scheduling, visitor management, and workplace analytics platform. In order to provide these features, we collect and use Personal Information. This Welkio Privacy Policy describes how Welkio uses certain categories of Personal Information and provides other information specific to Welkio. How We Use Your Personal Information

This section supplements our Global Privacy Policy to provide more information about some of the ways in which we use your information that are specific to Welkio.

Corporate Members and Clients.  If you are a corporate member or client, the Personal Information we use includes:

  • Contact Information and Professional Information so that we may identify you and contact you, including to respond to inquiries or troubleshooting requests and to deliver notifications and other operational communications;

  • Contact Information and Verification Information to protect against fraud, abuse, or harm, verify your identity, and otherwise provide a Secure Environment (generally, to meet our legal obligations or to meet our legitimate interests);

  • Payment Information, where appropriate, to process a financial transaction that you have requested, including your purchase of the Services (generally, to meet our contractual obligations to you);

  • Device and Usage Information to provide the Services and a Secure Environment, process data or files that you input, upload, or store with the Services, better tailor and provide the Services, and help us improve our products and Services; and

  • Other Personal Information to tailor our marketing to you and provide you with the Services, including, but not limited to (i) enabling you to book conference rooms; (ii) providing Services that you request through our booking and sign-in tools; and (iii) processing the data or files that you input, upload, or store with the Services, such as to fulfill search queries that you submit or process documents that you upload to the Services.

Corporate Members’ and Clients’ Employees.  If you are a corporate member’s or client’s employee, the Personal Information we use includes:

  • Contact Information and Professional Information so that we may identify you and contact you, including to respond to inquiries or troubleshooting requests and to deliver notifications and other operational communications;

  • Contact Information and Verification Information to protect against fraud, abuse, or harm, verify your identity, and otherwise provide a Secure Environment (generally, to meet our legal obligations or to meet our legitimate interests);

  • Device and Usage Information to provide the Services and a Secure Environment, process data or files that you input, upload, or store with the Services, better tailor and provide the Services, and help us improve our products and Services;

  • Email Calendar Information, by integrating with your corporate email calendar, to enable you to book conference rooms and receive meeting notifications. We also analyze the data regarding the conference rooms that you book to help us improve our products and Services (e.g., by offering additional conference rooms, reassigning conference space to desk space, and identifying which conference rooms are preferred) and ensure that we can provide the most efficient Services possible; and

  • Other Personal Information to tailor our marketing to you and provide you with the Services, including, but not limited to (i) enabling you to book conference rooms; (ii) providing Services that you request through our booking and sign-in tools; and (iii) processing the data or files that you input, upload, or store with the Services, such as to fulfill search queries that you submit or process documents that you upload to the Services.

Visitors, Guests, and Other End Users.  If you are a visitor or guest who visits a facility that has integrated Welkio, the Personal Information we use includes:

  • Your name and email address, whether provided by you or your host, to identify you and provide you with a digital or physical access badge;

  • Contact Information and Verification Information to protect against fraud, abuse, or harm, verify your identity and the purpose of your visit, and otherwise provide a Secure Environment (generally, to meet our legal obligations or to meet our legitimate interests);

  • Device and Usage Information to provide the Services and a Secure Environment, process data or files that you input, upload, or store with the Services, better tailor and provide the Services, and help us improve our products and Services; and

  • Other Personal Information to provide the Services, including, but not limited to (i) enabling you to sign in to facilities; (ii) providing Services that you request through our booking and sign-in tools; and (iii) processing the data or files that you input, upload, or store with the Services, such as to fulfill search queries that you submit or process documents that you upload to the Services.

All. Whether you are a member, client, member’s or client’s employee, visitor, guest, or other end user, we also use your Device and Usage Information and Other Personal Information to prepare aggregate use statistics, analyze, provide, better tailor, and improve our products and Services, tailor and provide you promotions and advertising, both on and off the Services, otherwise enhance your engagement with us, and as otherwise described in our Global Privacy Policy.

Our clients may collect and process Personal Information by integrating with Welkio or by integrating third-party tools with Welkio. Our clients are subject to their separate and independent privacy policies. We cannot control or be held responsible for their privacy practices.
