Archiving everything and starting with a blank slate.<\/p>\n<p>When it comes to taming email clutter and achieving the elusive <a href=\"https:\/\/www.wework.com\/creator\/knowledge\/reach-inbox-zero-reclaim-productivity\/\" target=\"_blank\" rel=\"noopener noreferrer\">inbox zero<\/a>, I\u2019ve tried every trick in the book. I\u2019ve combed through countless articles, downloaded multiple apps, and installed plugins like <a href=\"http:\/\/www.boomeranggmail.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Boomerang<\/a> and <a href=\"https:\/\/unroll.me\/\" target=\"_blank\" rel=\"noopener noreferrer\">Unroll.me<\/a>.<\/p>\n<p>Despite all these suggestions and strategies, I can\u2019t shake that underlying sense of inbox dread: messages I\u2019ve been meaning to reply to, email introductions I promised I\u2019d make, newsletters I vowed I\u2019d read retroactively. No matter how on top of things I am, it feels like I\u2019m constantly on a mission to tackle my inbox.<\/p>\n<p>By no means have I devised the perfect strategy for dealing with email, but from one productivity fiend to another, here are the seven key pieces of advice I find myself turning to time and time again.<\/p>\n<p><strong style=\"line-height: 1.5;\">1. Respond promptly&#8230;<\/strong><\/p>\n<p>In their book <a href=\"http:\/\/www.amazon.com\/How-Google-Works-Eric-Schmidt\/dp\/1455582344\" target=\"_blank\" rel=\"noopener noreferrer\"><em>How Google Works<\/em><\/a>, Eric Schmidt and Jonathan Rosenberg share some <a href=\"http:\/\/time.com\/3425368\/google-email-rules\/\" target=\"_blank\" rel=\"noopener noreferrer\">essential rules for emailing<\/a>, and I find myself referencing them repeatedly. One of my favorite takeaways: \u201cThere are people who can be relied upon to respond promptly to emails, and those who can&#8217;t. Strive to be one of the former. Most of the best\u2014and busiest\u2014people we know act quickly on their emails, not just to us or to a select few senders, but to everyone.\u201d<\/p>\n<p>Schmidt and Rosenberg are on to something: busyness is a choice. We\u2019ve come to wear the word \u201cbusyness\u201d like a badge of honor, when in fact it\u2019s <a href=\"http:\/\/opinionator.blogs.nytimes.com\/2012\/06\/30\/the-busy-trap\/?_r=0\" target=\"_blank\" rel=\"noopener noreferrer\">more of a trap<\/a>. I often ask myself, <em>If some of the busiest people I know can carve out the time to send a quick response, what\u2019s my excuse?<\/em><\/p>\n<p><strong style=\"line-height: 1.5;\">2. \u2026but don\u2019t be a slave to email. Aim for a 24-hour<\/strong> <strong style=\"line-height: 1.5;\">turnaround.<\/strong><\/p>\n<p>Replying promptly to every single email is ideal\u2014but also ambitious. Email is about <a href=\"http:\/\/99u.com\/articles\/25519\/email-is-for-setting-expectations\" target=\"_blank\" rel=\"noopener noreferrer\">setting expectations<\/a> and establishing boundaries for when you can and cannot be reached. That\u2019s where the 24-hour rule comes into play.<\/p>\n<p>Generally speaking, if you answer an email within one day of receipt, you\u2019re still being courteous, but you avoid sending premature responses and give the situation a chance to sort itself out. As <a href=\"http:\/\/99u.com\/articles\/19231\/how-effective-people-handle-email\" target=\"_blank\" rel=\"noopener noreferrer\">99U advises<\/a>, \u201cRecognize when the pressure to reply is real and required for things to get done, and when it is all in your head to \u2018appear\u2019 responsive. Your career will be made on your ability to get things done, not your ability to answer emails immediately.\u201d<\/p>\n<p>\u201cIf you can&#8217;t respond to an email within 48 hours, at least respond with a quick, \u2018I&#8217;ll get to this soon,\u2019\u201d suggests <a href=\"https:\/\/www.themuse.com\/advice\/45-productivity-tips-for-extremely-busy-people\" target=\"_blank\" rel=\"noopener noreferrer\">The Daily Muse<\/a>. Which leads us to my third personal goal:<\/p>\n<p><strong>3. Always add value.<\/strong><\/p>\n<p>Before replying to an email, question your motives. Are you responding just for the sake of responding? Are you trying to prove that you\u2019re paying attention? That you\u2019re putting in extra time beyond traditional work hours? &#8220;If so,&#8221; writes time management coach Elizabeth Saunders on <a href=\"http:\/\/99u.com\/articles\/19231\/how-effective-people-handle-email\" target=\"_blank\" rel=\"noopener noreferrer\">99U<\/a>, \u201cyou\u2019re typically wasting time that could be spent producing something of value and only encouraging people to respond.\u201d<\/p>\n<p>Saunders, like many productivity experts, suggests we stop sending emails that simply say \u201cthanks,\u201d but I\u2019d argue that a quick acknowledgement of receipt and understanding is valuable, both as a courtesy and as a way to close the loop on an action item.<\/p>\n<p><strong style=\"line-height: 1.5;\">4. Prioritize replies.<\/strong><\/p>\n<p>Speaking of value, it\u2019s important to give yourself permission to <a href=\"http:\/\/99u.com\/articles\/19231\/how-effective-people-handle-email\" target=\"_blank\" rel=\"noopener noreferrer\">delete messages that don\u2019t require a response<\/a> (yes, even though Schmidt and Rosenberg encourage replying to everyone promptly).<\/p>\n<p>I\u2019m always tempted to reply to unnecessary emails first\u2014it\u2019s satisfying to feel like I\u2019ve checked one more thing off my list\u2014so I have to train myself to focus and make sure I\u2019m prioritizing the important and\/or urgent responses.<\/p>\n<p><strong style=\"line-height: 1.5;\">5. If not now, when?<\/strong><\/p>\n<p>When you open a new message, decide right away what to do with it. Some people live by the \u201c<a href=\"http:\/\/www.fastcompany.com\/3004136\/11-productivity-hacks-super-productive-people\" target=\"_blank\" rel=\"noopener noreferrer\">OHIO<\/a>\u201d (Only Handle It Once) technique, meaning \u201cI\u2019ll get back to this another time\u201d is not allowed. I\u2019m okay with responding later if need be, but I do my best to follow the one-minute rule that Gretchen Rubin touts in <a href=\"http:\/\/gretchenrubin.com\/\" target=\"_blank\" rel=\"noopener noreferrer\"><em>The Happiness Project<\/em><\/a>: if the <a href=\"http:\/\/gretchenrubin.com\/happiness_project\/2010\/12\/10-tips-to-beat-clutterin-less-than-5-minutes\/\" target=\"_blank\" rel=\"noopener noreferrer\">task at hand can be completed in one minute or less<\/a>, just do it so that it\u2019s out of the way. It\u2019s better to spend 30 seconds drafting an immediate response than three minutes digging for the original email later on.<\/p>\n<p><strong style=\"line-height: 1.5;\">6. Label liberally.<\/strong><\/p>\n<p>I\u2019m a sucker for color-coding, but even from an objective standpoint, I think of labels as a lifesaver. Gmail search is effective, too, but as a visual learner, it helps me to see things organized by color in my inbox. <a href=\"http:\/\/www.vox.com\/2015\/6\/23\/8832929\/inbox-zero-tips\" target=\"_blank\" rel=\"noopener noreferrer\">Set up automatic filters<\/a> to save yourself time, whether that means having all daily newsletters skip your inbox and get marked as \u201dread,\u201d or assigning your boss her own color so her emails stand out at a glance.<\/p>\n<p><strong style=\"line-height: 1.5;\">7. Be a router.\u00a0<\/strong><\/p>\n<p>Until I read Eric Schmidt\u2019s <a href=\"http:\/\/time.com\/3425368\/google-email-rules\/\" target=\"_blank\" rel=\"noopener noreferrer\">rules for defeating inbox dread<\/a>, I never thought of myself as a router, but it\u2019s a great analogy. At his suggestion, I try to make an effort to comb through my inbox at the end of each day and ask myself, <em>What should I have forwarded, but didn&#8217;t?<\/em> and <em>What else would others find useful?<\/em><\/p>\n<p>(Caution with this tip: you don\u2019t want to inundate other people\u2019s inboxes. Use your good judgment.)<\/p>\n<p>And there you have it: the seven go-to inbox tips I swear by.
