How We Use Your Personal Information

Unless otherwise defined in this document, defined terms have the meaning ascribed to them in WeWork’s Global Privacy Policy, including the categories of Personal Information used.

WeWork Labs Corporate Member, Partner, or Sponsor. If you are a WeWork Labs Member, when you sign up for the Services, WeWork Labs uses:

  • Contact Information and Professional Information to identify you and to contact you, to respond to inquiries or troubleshooting requests that we receive from you or your company or organization, and to deliver notifications and other operational communications, in order to meet our contractual obligations to you or to meet or legitimate interests to meet our contractual obligations to your employer;
  • Verification Information to protect against fraud, abuse, or harm, verify your identity, and comply with applicable law; and Payment Information, where appropriate, to process a financial transaction that you have requested, including your purchase of the Services, to meet contractual obligations to you, or to meet our legitimate interests to prevent fraudulent activity; and
  • Other Personal Information to improve our products and Services, and to better tailor and provide the Services, in order to meet our legitimate interests to provide the best possible products and Services to our Customers.

WeWork Labs Member Employee, Partner Employee, or Sponsor Employee. We use your Personal Information for the purposes described below to meet our legitimate interests to provide our Services to our Members, Partners, and Sponsors, to ensure that we can prevent fraudulent activity on our systems, improve our Services, and keep our records accurate and up to date:

  • Your employer may provide us with your Contact and Professional Information in order for you to use our Services and be provided with an access badge. We also use this information to respond to inquiries that we receive from you, to deliver notifications and other operational communications, for troubleshooting, and to deliver communications about WeWork Labs;
  • We collect and use your Verification Information to protect against fraud, abuse, or harm,to comply with applicable law and confirm your identity upon registration; this helps us prevent fraud and achieve a Secure Environment;
  • We collect and use Payment Information such as your credit card number and expiration date where appropriate to process a financial transaction that you have requested;
  • Additionally, we use Other Personal Information to provide you with Services, including but not limited to, (i) parking; (ii) securing our Services and preparing aggregate use statistics; (iii) connecting you with the community; (iv) providing you with emergency Services; (v) connecting you with social media channels, apps, and websites; (vi) providing you with online and offline events; and (vii) for our internal business purposes, such as business planning and program development;
  • We use Other Personal Information to fulfill service requests, to provide the Services that you request through our booking and sign-in tools, and to process the data or files that you input, upload, or store with the Services, such as to fulfill search queries that you submit, and to process documents that you upload to the Services;
  • Additionally, we integrate with your corporate email calendar (Gmail or Microsoft Outlook) so that you may book conference rooms and receive meeting notifications. We also analyze the data regarding the conference rooms that you book to help us improve our Services (e.g., by offering additional conference rooms, reassigning conference space to desk space, and identifying which conference rooms are preferred); and
  • We also collect and store your Office Preferences so that we can tailor your work environment to you (e.g., adjusting your desk height, cooling the room, starting the fan, etc.). We also collect Communications and any other information that you intentionally share, send, or receive using the Services to tailor Services to you.

Mentor. WeWork Labs uses the following Personal Information related to Mentors for the following purposes:

  • Contact and Professional Information to allow you to use our Services and be provided with an access badge, and to respond to inquiries that we receive from you, to deliver notifications and other operational communications, for troubleshooting, and to deliver communications about WeWork as described in the Global Privacy Policy, in order to meet our contractual obligations to you, and to provide your with our Services;
  • We collect and use your Verification Information to protect against fraud, abuse, or harm, comply with applicable law and confirm your identity upon registration; this helps us protect against fraud, abuse, or harm and achieve a Secure Environment;
  • We collect and use Payment Information such as your credit card number and expiration date where appropriate to process a financial transaction that you have requested, and to meet contractual obligations to you when you make payments;
  • We use Other Personal Information to provide you with Services, including but not limited to, (i) parking; (ii) securing our Services and preparing aggregate use statistics; (iii) connecting you with the community; (iv) providing you with emergency Services; (v) connecting you with social media channels, apps, and websites; (vi) providing you with online and offline events; and (vii) for our internal business purposes, such as business planning and program development in order to meet our contractual obligations to you or to meet our legitimate interests to provide the best Services possible to Mentors;
  • We use Other Personal Information to fulfill service requests, to provide the Services that you request through our booking and sign-in tools, and to process the data or files that you input, upload, or store with the Services, such as to fulfill search queries that you submit, and to process documents that you upload to the Services in order to meet our contractual obligations to you, or to meet our legitimate interests to provide the best Services possible;
  • We integrate with your corporate email calendar (Gmail or Microsoft Outlook) with our systems so that you can book conference rooms and receive meeting notifications in order to provide Services that you request;
  • We analyze the data regarding the conference rooms that you book to help us improve our Services (e.g., by offering additional conference rooms, reassigning conference space to desk space, and identifying which conference rooms are preferred) to ensure that we can provide the most efficient Services possible;
  • We collect and store your Office Preferences so we can tailor your preferences and work environment to you (e.g., adjusting your desk height, cooling the room, starting the fan, etc.), to ensure that we can provide the most useful Services possible; and
  • We collect Communications and any other information that you intentionally share, send, or receive using the Services to tailor Services to you.

Visitors, Guests and Other End Users. If you are a Visitor or guest who visits a WeWork Labs facility in connection with the Services, we will collect and process your Personal Information in the following ways, in order to meet our legitimate interests to provide a simple experience for you and the Member whom you are visiting, as described below.

  • You may be pre-registered by your host, who will provide us with your name and email address so that we may identify you and provide you with a badge;
  • Upon your arrival, we will request Verification Information to comply with applicable law, verify your identity and the purpose of your visit and protect against fraud, abuse, or harm;
  • We also collect Other Personal Information depending upon the length of your visit or Services that you access, such as (i) providing you with parking, wifi, or Services you request through our booking and sign-in tools; (ii) fulfilling search queries that you submit; (iii) processing the documents that you upload to the Services; (iv) connecting you with social media channels, apps, and websites; (v) providing you with online and offline events; and (vi) for our internal business purposes, such as business planning and program development;
  • We collect Other Personal Information and Verification Information, to engage you as a vendor or third party goods or Services provider, process invoices, protect against fraud, abuse, or harm, and provision and de-provision access as necessary. This is to carry out steps necessary prior to entering into a contract with you;
  • Depending upon the length of your visit, we collect and use your Office Preferences to enhance your engagement with us and Email Calendar Information to book conference rooms;
  • If you are a Visitor, guest, or Other End User who visits our website, we collect Contact Information and Professional Information to respond to inquiries that we receive from you, to deliver notifications and other operational communications, for troubleshooting, and to deliver advertising and promotional communications (with your consent as required by applicable law);
  • We use your Payment Information to process a payment for optional goods or Services that you request; and
  • We collect Communications and any other information that you intentionally share, send, or receive using the Services to tailor Services to you.
